Event Room Setup and Audio-Visual Requirements for The Spiritual GodMom

Audio Equipment

• Please provide a wireless lapel microphone to allow the speaker to move freely and engage with the audience.
• A high-resolution projector or screen for displaying presentations, compatible with various formats (refer to room setup requirements below).
• HDMI or USB-C connectivity options for seamless integration with laptops or tablets.
• Wireless presentation remote with laser pointer functionality.
• A quality sound system with microphones (lapel or handheld) to accommodate the speaker’s preferences and ensure optimal audio clarity.
• Reliable Wi-Fi connection for smooth online content accessibility during presentations.
• Lectern: A non-transparent lectern is preferred for storing materials and props, placed on the speaker’s right side when facing the audience.

Recording Policies

• The speaking agreement does NOT include audio or video recording of the event. However, recording fees can be negotiated separately. If recording is planned, please ensure synchronization of the speaker's and audience's microphones for optimal audio results.

Venue Requirements for Keynotes and Workshops

• Room configuration should include a center aisle to allow the speaker to interact with the audience. A 6-foot draped table should be placed perpendicular to the audience for materials.
• On-stage tables should be positioned far enough back to enable easy interaction with the audience. Off-stage seating is preferred during speeches.
• Electronic handouts will be sent in advance; please prepare printed copies for all participants.
• Use the customized introduction provided via email, which is tailored for your specific audience.
• Prior to introducing the speaker, kindly request attendees to silence devices to minimize distractions.

Book Signing Arrangements

• A 6-foot draped table with two chairs should be set up at the back of the room for the book signing before the event.

Additional Tips

• Have greeters fill front rows first to minimize distractions caused by latecomers.
• Position the front rows no farther than 6 feet from the stage to foster intimacy with the audience.
• Arrange the room wide rather than deep, placing the stage in the middle of a long wall.
• If expecting 450 attendees, provide seating for only 400 to encourage full attendance and minimize empty seats.

Travel Information

Travel Arrangements

• Unless otherwise arranged, The Spiritual GodMom’s team will handle travel. Travel will be from Syracuse Hancock International Airport (SYR), with non-refundable coach airfare for one. Clients will be billed for airfare and related travel expenses.

Hotel Arrangements

• Clients are responsible for booking hotel accommodations, subject to the speaker’s team’s approval. This includes guaranteeing late check-in and specifying non-smoking preferences. Preferred hotels include Marriott or similar quality.

Ground Transportation

• Please provide recommendations for ground transportation (e.g., hotel shuttle, car service, rental car). Ground transportation expenses are the client’s responsibility. If using Uber, Uber Black is preferred.
